This Privacy Policy explains how RoosterPro ("RoosterPro," "we," "us") collects, uses, and protects information when you visit roosterpro.com or use the RoosterPro platform. RoosterPro is a business service for owners and operators of multifamily properties.

1. Information we collect

Information you give us:

Account details: name, work email, password (stored in encrypted form by our authentication provider), company name, role, and phone number.
Signup questionnaire answers: portfolio size, locations, fire systems, vendors, and service interests.
Property and business information: property names, addresses, unit counts, equipment details, vendor and service contract information.
Documents you upload: inspection reports, invoices, proposals, contracts, and similar files, which may contain vendor, property, and contact information.
Messages: anything you send through our contact form or by email.

Information collected automatically: basic technical data needed to run the service securely, such as sign-in session cookies, IP address, browser type, and server logs. We do not use advertising or third-party tracking cookies. Some images on our public website are served by Unsplash, which receives standard web request information (such as IP address and browser type) when those images load.

2. How we use information

To provide the services: reviewing documents, building property profiles, running RFPs, and delivering findings.
To communicate with you: account emails, notifications, invoices, scheduling calls, and responding to inquiries.
To bill for the services and keep business records.
To secure, maintain, and improve the platform.
To create de-identified, aggregated information (for example, industry benchmarks) that does not identify you, your company, your properties, or any individual.
To comply with legal obligations.

3. How we share information

We do not sell your personal information. We share information only:

With service providers who run parts of our platform on our behalf, under confidentiality obligations. These currently include Supabase (database, file storage, and sign-in), Vercel (website hosting), and Resend (email delivery).
With your vendors, at your direction, for example when we request documents from them or send RFP invitations on your behalf.
Within your organization: other users on your company's account can see your company's data according to their access level.
For legal reasons, if required by law or to protect the rights, property, or safety of RoosterPro, our customers, or others.
In a business transfer, such as a merger or sale of assets, subject to this Policy.

4. Data security

Information is transmitted over encrypted connections (HTTPS) and stored with access controls that keep each customer's data separate from other customers. Uploaded files are stored privately and are only available through short-lived, signed links. No system is perfectly secure, but we work to protect your information and will notify affected customers of a security incident as required by law.

5. Data retention

We keep account and property information for as long as your account is active and as needed to provide the services, meet legal and accounting requirements, and resolve disputes. When your agreement ends, you may request deletion of your data, and we will delete or de-identify it within a reasonable time unless we must keep it for legal reasons.

6. Your choices and rights

You can view and update much of your information in the platform. You may also ask us to access, correct, export, or delete personal information we hold about you. Depending on where you live, you may have additional rights under state privacy laws. To make a request, contact us using the form below; we will verify the request and respond within the time required by applicable law.

7. Children

RoosterPro is a business service and is not directed to children. We do not knowingly collect information from anyone under 16.

8. Changes to this Policy

We may update this Policy from time to time. We will post the updated version here with a new "Last updated" date and, for material changes, notify account holders by email or in the platform.
